We are seeking for an experienced Senior Administrative Officer and MRI Support.

The Senior Administration Officer and MRI Support provides administrative and operational support to senior faculty leadership team members, Centres and Institutes leadership teams, under the general direction of the Head of FMH Centres and Affiliated Institutes, Operations. This role is essential for the efficient implementation of key initiatives and strategic operations across the portfolio.

Your key responsibilities will be to:

  • Oversee daily administrative activities, support senior leadership and stakeholders, ensure governance compliance, handle inquiries discreetly, build relationships, and contribute to strategic planning and process improvements
  • Ensure databases and reports meet governance and business needs, compile and analyze data for presentations, coordinate payments and invoices, maintain documentation and records per University policy, and collect and summarize statistics.
  • Facilitates strategic external engagement through planning, project support, and stakeholder relationship management.
  • Coordinates meetings, events, and conferences, providing high-level administrative support including correspondence drafting, stakeholder liaison, and logistics management for efficient event delivery.
  • Ensures university governance compliance through support for senior leadership in annual reporting, reviews, and governance procedure implementation, offering guidance on administrative processes.
  • Undertakes ad-hoc projects and activities approved by the Manager, aligned with the role's responsibilities and classification level.

About you

  • hold a Bachelors Degree in a relevant field e.g Business Administration and /or equivalent relevant experience
  • analyze and apply complex policies, procedures, and accounting standards
  • communicate effectively both verbally and in writing with the ability to influence outcomes
  • coordinate events and activities efficiently.
  • provide strategic financial management advice and decision support.
  • demonstrate strong organizational skills, time management, and proficiency in Microsoft Office, including advanced Excel for financial analysis.
  • proven ability to take initiative and drive projects forward independently
